Wheelchair Accessible Vehicle Hire
Terms & Conditions of Hire
1. As you would probably expect we do need to know who we are hiring our vehicles to and where they live. We also need to safeguard ourselves against the real risk of fraudulent hire and also uninsured loss claims. We must, therefore, ask all hirers to produce the following items prior to release of vehicles.
a. Proof of Identity & Proof of Competency to Drive (Private & Business)
Prior to release of the vehicle, we must have sight of driver licences for all drivers. If you have a new style plastic credit card type licence we require both the card and the paper counterpart. We do need to see the original document and not photocopies.
b. Proof of Address (Private Individuals)
In addition to driving licences, we will require proof of current address for the principle hirer. This maybe in the form of a utility bill ie gas, electric, water rates, land line telephone bill or bank statement (dated within last 3 months). We will not accept mobile phone bills, mail order catalogue bills or credit card canvassing leaflets!
c. Purchase Order (Businesses)
A purchase order on company headed notepaper (with VAT registration details if applicable).
d. Deposit (Private Individuals & Businesses)
A deposit of £200.00 per vehicle hired is required prior to release. This will be refundable subject to:
Vehicle being returned undamaged.
Vehicle being returned within the agreed hire period.
Vehicle being returned with the same fuel level as start of hire.
e. Method of Payment (Private Individuals & Businesses)
Our accepted methods of payment are cash, debit or credit card, bankers draft, building society cheques or bank transfer (BACs). We can only accept cheques from private individuals up to the value of their valid cheque guarantee card. Business/Company cheques are not accepted unless cleared before hire.
(Payment for both hire period and deposit are required in full prior to release of vehicle).
Insurance
1. For private individuals we offer comprehensive insurance for the duration of hire, subject to the insurance company’s acceptance of all driver details. Our insurance company will not accept a driver’s licence with more than 6 penalty points and they impose an age restriction of over 21 to less than 75 years of age. You must have held a full UK or EEC drivers licence for a minimum of 12 months. If you hold a Canadian, USA or Australian licence please contact us for guidance.
Should you wish to arrange your own insurance you must provide us with written confirmation from your insurance company or broker that our vehicle is comprehensively insured for the duration of hire. We will not release a vehicle for hire unless we have that proof. (Proof is usually in the form of a temporary cover note issued by your broker, agent or insurance company).
For businesses with “blanket” policies we require confirmation in writing from your broker/agent or insurance company that our vehicle has been included on your policy for the duration of hire and specifies the Vehicle Registration Number of our vehicle.

2. In addition to the above, there are a few other terms and conditions. They are largely to our benefit but some will be advantageous to you:

The vehicle must be maintained (ie oil, coolant, lubricant and antifreeze levels etc) at your own expense whilst it is in your possession. We will ensure that the vehicle is handed over to you with all the levels checked and topped up where necessary.

Punctures. The cost of repairs to punctured tyres is borne by you.

The vehicle may only be driven by those that are named on the cover note/certificate issued by the insurance company and then only driven within the scope advised to the insurance company – ie the vehicle must not be used in connection with a business (which includes hire or reward) unless they have been so advised.

You are responsible for any damage to the exterior/interior sustained to the vehicle whilst it is within your hire period. Similarly, any repairs to the vehicle that are necessary due to neglecting to check oil and other lubricant levels, tyre pressures and engine coolants etc are your responsibility. We reserve the right to charge an additional premium to cover the charges for additional valet should the vehicle be returned to us in an unacceptably dirty condition.

The hirer of the vehicle must observe the Road Traffic Offenders Act and is held liable for any fixed penalty offences, congestion or parking charges incurred as if they are the owner of the vehicle for the duration of hire. Clamping release expenses are of course to be borne by the driver. Should this company receive Notice of charges, fixed penalties, parking violation etc incurred by the hirer after the hire period then we reserve the right to charge an administrative fee of £30.00 (plus VAT if applicable) to the hirer to cover the costs involved.

The hirer must ensure that any ancillary equipment of the vehicle (ie passenger tail lifts, electric winches etc) is used only for the purpose for which it is designed for and that any weight limitations or restrictions are observed. Any damage and subsequent repair costs due to miss-use is the hirer’s liability.

As this is a business vehicle it is unlawful to smoke tobacco in it. We ask all hirer’s not to smoke in the vehicle not only because of the recent legislation, health and safety issues and odour but also to avoid cigarette burns - the rear seats are usually custom built and can cost upto £500.00 each.
Indemnity
3. We will ask you to sign an indemnity that deals with the correct application of the wheelchair restraint system, the correct fitting of the wheelchair user’s personal restraint system and the correct operation of ramps, lifts, winches etc installed on the vehicle hired.
It is your responsibility to ensure that you fully understand the correct procedures and safe handling of wheelchair users in the vehicle. Also included in the indemnity is advice with regard to lowered floor conversions, modified fuel tanks and general safety issues for the wheelchair user. |
